Custom Operations Portal: Case Overview

By Adyasha Mallick

Growing service-led businesses often rely on a mix of spreadsheets, messaging apps, and manual follow-ups to manage daily operations. Over time, this creates gaps in visibility, accountability, and reporting.

This project focused on designing a custom operations portal to centralize workflows and simplify day-to-day management.

The Challenge

Growing service-led businesses often rely on a mix of spreadsheets, messaging apps, and manual follow-ups to manage daily operations. Over time, this creates gaps in visibility, accountability, and reporting.

This project focused on designing a custom operations portal to centralize workflows and simplify day-to-day management.

The Approach

The business needed a way to:

  • manage operational data in one place

  • reduce manual coordination

  • give the admin team clear visibility into activities

  • move away from fragmented tools and ad-hoc tracking

Existing processes were functional, but not scalable.

The Outcome

The operations portal enabled:

  • a single source of truth for operational data

  • reduced manual follow-ups

  • clearer workflows for the admin team

  • improved visibility without increasing overhead

Daily operations became easier to manage and less dependent on individuals.

Why It Matters

Custom operations portals work best when they reflect real workflows.

By designing the system around the business’s operational reality, the portal became a tool the team could rely on — not another system to maintain.
